What we collect when you write to us, why, how long we keep it, and how to exercise your rights.

This policy describes the processing of personal data carried out in connection with the Seqo website, in accordance with the General Data Protection Regulation (GDPR) and French data protection law.
Company being incorporated. The company that will operate Seqo is currently being formed. Until its registration, responsibility for processing is assumed by its founders, natural persons acting in the name and on behalf of the company in formation. On registration, the company will become the controller, without any change to the purposes, retention periods or recipients described here; this page will be updated and its update date changed accordingly.
1. Controller
Until the company is registered, the controller is Claire Martin, acting in the name and on behalf of the company being incorporated that will operate Seqo. From registration onwards, the controller will be the company itself, and both its name and its SIREN number will be stated here.
Any question about this policy can be sent to contact@seqo-pass.com. No data protection officer has been appointed: given the volume and nature of the data processed, that appointment is not mandatory. Requests are handled directly by the controller.
2. Data collected and purposes
The site collects no data without your knowledge. The only personal data we receive is what you send us voluntarily.
Contact form
When you fill in one of the site’s forms (the About page, the Diagnostic page, the self-check result), we collect, depending on the form: your name, your company, your business email address, your telephone number if you provide it, the subject of your request, the order of magnitude of your battery production or fleet, and the content of your message. The short forms ask only for your company and your email address, or your email address alone. Form messages are received and stored in HubSpot, on a data centre located in the European Union (see section 5).
That data serves three purposes only: to answer you, to prepare and hold the first scoping call, and where relevant to send you a proposal. It is neither sold, nor passed on, nor used for advertising. The fields marked as required are those without which we cannot handle the request; the telephone number is optional.
Booking a call
The Diagnostic page displays a booking calendar provided by Cal.eu. That module is loaded from its publisher’s servers: your browser connects to them directly, which passes on your IP address and the usual technical information. If you book a slot, the data you enter in that module (name, email address, any details you add) is collected by Cal.eu on our behalf, solely to organise and remind you of the appointment.
Social networks and messaging
If you reach us through LinkedIn or WeChat, your exchanges are governed by the terms and privacy policies of those platforms, over which we have no control. We keep from those conversations only what is needed to follow up on the request. The WeChat QR code shown on the site is a plain image: its presence triggers no connection to a third-party server unless you scan it.
Fonts
The site’s fonts are loaded from the Google Fonts service. That loading passes your IP address to Google. No cookie is set by that service, and no data is used to identify or track you.
Technical logs
For security and proper operation, the site’s host records connection logs that may contain an IP address. Those logs are not used for individual tracking and we keep no copy of them.
Audience measurement
The site uses Plausible, an audience measurement tool hosted in the European Union. It sets no cookie and creates no individual identifier: it counts page views and a few aggregated actions (for instance a form submission or a click through to the demo page), with no way of recognising you from one visit to the next. Your IP address is not kept. Those statistics serve only to see which pages are read and to improve the site.
Self-assessment
The self-check on the home page runs entirely in your browser: none of your answers is transmitted. The result is only sent if you then choose to write to us, in which case it accompanies your message so that we know what we are talking about.
Email exchanges
If you write to us directly, we keep your message and your contact details under the same conditions as described below.
3. Legal basis
Processing of form data rests on pre-contractual steps taken at your request when you ask for a diagnostic or a proposal, and on our legitimate interest in answering the requests addressed to us and following up our commercial relationship. Technical logs rest on our legitimate interest in keeping the site secure.
4. Retention
Data from the form and the exchanges that follow is kept for three years from your last contact for requests that do not proceed. Where the relationship becomes contractual, data is kept for the duration of the contract, then for the applicable statutory limitation and archiving periods, in particular for accounting purposes. Appointment data is kept for as long as it takes to organise and follow up the meeting, within the same three-year limit. Technical logs are kept by the host for a limited period, for security purposes.
At the end of those periods, data is deleted or archived in a form that no longer allows identification.
5. Recipients and processors
Your data is accessible only to the members of the Seqo team who need it to handle your request. It is also processed, on our behalf and on our instructions, by the following providers:
- Netlify, Inc.: hosting of the site;
- HubSpot, Inc.: receipt and storage of the messages sent through the site’s forms, on its data centre located in the European Union;
- Plausible Insights OÜ (Estonia): cookie-free audience measurement, data hosted in the European Union;
- Cal.eu: online booking and the associated reminders;
- IONOS: business email hosting, sending and following up our email exchanges.
Those providers are bound by a processing agreement covering confidentiality and data security. No other recipient receives your data, save for a legal obligation or a request from a competent authority.
6. Transfers outside the European Union
We favour providers hosting data within the European Union. Three situations are exceptions, and are covered by the mechanisms of Chapter V of the GDPR, adequacy decision or standard contractual clauses as the case may be:
- hosting of the site is handled by a company established in the United States;
- form messages are received by HubSpot, a company established in the United States, which stores them on our behalf in its European Union data centre;
- loading the fonts puts your browser in contact with a service also established in the United States.
If you choose to reach us on WeChat, your exchanges travel through a platform operated from China, outside the scope of the GDPR: that is a direct consequence of your choice of channel, not a transfer we organise. For a request containing sensitive information, prefer the form or email.
7. Security
The site is served over HTTPS. Access to received messages is restricted to authorised people and protected by authentication. We apply the minimisation principle: we ask only for what is necessary to handle your request.
8. Your rights
You have, over the data concerning you, a right of access, rectification, erasure, restriction of processing and portability, as well as a right to object to processing based on our legitimate interest. You may also give directions as to what happens to your data after your death.
To exercise those rights, write to contact@seqo-pass.com. We answer within one month of receiving the request, a period which may be extended for complex requests. Proof of identity may be requested where there is reasonable doubt about the identity of the requester.
9. Complaints
If, after contacting us, you consider that your rights are not respected, you may lodge a complaint with the French data protection authority (CNIL), 3 place de Fontenoy, TSA 80715, 75334 Paris Cedex 07, or online at www.cnil.fr.
10. Cookies
The site uses no audience measurement, advertising or behavioural tracking cookie. The audience measurement described in section 2 works without cookies or individual identifiers, which is why it does not require your consent. Only cookies strictly necessary to the operation and security of the site may be set, and those do not require your consent.
The booking module, present on the Diagnostic page, may set the cookies necessary to its own operation when it is displayed. It performs no audience measurement on our behalf and does not track your navigation across the other pages of the site.
Should we add a tool that sets audience measurement cookies or any other non-exempt tracker, a consent banner would be put in place and this policy updated before anything is set.
11. Data processed on the platform
The data our clients entrust to us as part of their use of the platform, including the business contact details of their own people and of their suppliers, does not fall under this policy. It is processed on the client’s behalf, on their instructions, under the contract entered into with them: we do not resell it and do not reuse it for any other purpose.
12. Changes to this policy
This policy may be amended to reflect legal or technical developments. The applicable version is the one published on this page, whose update date appears at the top of the document.
